3. How we collect and use information
We collect information when you contact us, complete a form, book or attend a call, enrol, participate in coaching or interact with our website or advertisements. We use it to respond to enquiries, assess and administer enrolments, provide support and education, manage appointments and payments, maintain business records, handle complaints, improve our services and measure marketing activity. We may also receive information through the platforms you use to contact us. You can make a general enquiry without identifying yourself where practical; some services require identifying and contact information.
4. Call recordings and AI notes
We use Fathom to record and transcribe calls and create AI-assisted notes for follow-up and service administration. Recording must be disclosed and any permission required by applicable law obtained before recording. If you do not want a call recorded, tell the host before the recording starts or contact us to discuss an alternative. AI notes may contain errors; you can ask us to correct information. A recording is not permission for us to publish your story or use your image in advertising.
5. Cookies, pixels and advertising
We use Meta advertising pixels and related marketing technologies in connection with advertising. These tools can help measure visits and conversions, understand advertising performance and reach relevant audiences. They may link activity to an account you hold with the platform. Hosting and other service providers may also use essential cookies and logs. You can manage cookies through your browser and advertising preferences through the relevant platform, including Meta Accounts Centre. Blocking cookies may affect some features and does not necessarily stop every form of collection. Where a consent choice is required, it must be obtained before the relevant non-essential technology is used.
6. Who receives information
Information may be accessed by staff and contractors who need it for their work, including sales and support, and by service providers for hosting, CRM, communications, recording, payments, community and course delivery, analytics and advertising. These include Go High Level, Fathom and Meta in the activities described above. We may disclose information to professional advisers, regulators or other parties where required or permitted by law. When you follow a link or use a third-party platform, its own privacy policy also applies.
7. Overseas access and processing
Our sales manager in Dubai, United Arab Emirates, can access customer names, phone numbers and relevant sales information through our CRM. Providers used for hosting, recording and advertising may store or process information outside Australia, including in the United States and other countries where they or their subprocessors operate. 8. Storage, security and retention
We hold information electronically in business systems and with our service providers. We take reasonable steps to protect it against misuse, interference, loss and unauthorised access, modification or disclosure. No online system is completely secure. We retain information for the purposes described in this policy and for legal, accounting or dispute-handling requirements, then take reasonable steps to delete or de-identify it when it is no longer needed.
